Dental Office Support - Part Time

Job Description:

We are seeking a detail-oriented and reliable individual to provide part-time administrative support for our dental office. This role focuses on assisting with surgical appointment preparation and patient communication. The ideal candidate is organized, tech-savvy, and able to work independently while maintaining accurate records and timely communication with staff and patients.

Key Responsibilities:

Surgical Appointment Preparation:

• Process Surgical-Prep paperwork for all surgical appointments two weeks prior to the appointment date.
• Audit upcoming surgical appointments one week prior to ensure all necessary preparations are complete.

Prescription and Documentation:

• Enter prescriptions into the “TreatRx” system to be sent.
• Create corresponding prescription notes.
• Send forms to patients as needed and follow up to ensure completion.

Patient Communication:

• Send New Patient (NPA) welcome letters two weeks before appointment.
• Send reminder texts encouraging patients to complete required paperwork prior to appointment.
• Make updates in patient profiles upon completion of required paperwork.

Recordkeeping & Charting:

• Make detailed notes in scheduling software to document completed tasks and relevant timestamps.
• Update and modify routing slips as necessary.

Staff Coordination:

• Notify appropriate team members immediately of any issues to prevent workflow disruptions.
• Email hygiene visit requests to General Dentists two weeks before appointments.
• Follow up on visit request emails one week before the appointment -- make updates to appointments as needed.

Qualifications:

• Prior experience in a dental or medical office preferred.
• Excellent written and verbal communication skills.
• Strong attention to detail and follow-through.
• Ability to prioritize and manage tasks within time-sensitive deadlines.
• Competent in MS Excel, Word, Google Docs, Google Sheets and Practice Management Software.

Schedule:

• Part-time.
• Temporary position with the possibility of becoming permanent.
• Estimated duration to be discussed at time of interview.
• Flexible hours within standard business days (2-3 days per week in office).
